AI for business, work and earning: practical workflows for marketing, customer service, admin, data and freelancing
AI assistants can save small businesses, employees and freelancers hours every week: drafting emails and proposals, creating social media content, answering customer questions, summarising meetings, analysing sales data, building spreadsheets and writing code. Used well, AI makes one person as productive as a small team. Used badly, it produces generic content, mistakes and privacy risks. This unit gives practical, tested workflows for real Kenyan business tasks, plus how freelancers can use AI to deliver better work (honestly) and earn more.
Where AI helps most
| Area | Tasks |
|---|---|
| Marketing | Content calendars, captions, blog drafts, ad copy variations, product descriptions |
| Sales | Proposals, quotes, follow-up messages, objection handling scripts |
| Customer service | FAQ answers, reply templates, chatbot scripts, translating messages |
| Admin | Emails, letters, meeting minutes, job descriptions, policies, SOPs |
| Finance and data | Excel formulas, summarising sales, cleaning data, simple forecasts |
| Design and media | Image ideas, background removal, captions/subtitles, video scripts |
| Learning and research | Explaining regulations (then verifying), competitor research, training materials |
| Software | Writing and debugging code, automations (e.g. Google Sheets scripts) |
Marketing workflow
- Context first: describe the business, audience, location, prices, tone, and paste examples of past posts that worked.
- Ask for a 2-week content calendar in a table.
- Generate captions for each post; ask for 3 variations of the best ones.
- Edit: add real details (prices, stock, customer stories), local language, and your voice.
- Create visuals in Canva (AI tools optional) using real photos where possible.
- Track results and tell the AI what worked to improve the next batch.
Example prompt:
You're a social media manager for "Mama Njeri Groceries", a family shop in Ruiru selling fresh produce,
unga, cooking oil and household items, with free delivery within 3 km via boda.
Customers: busy parents and young professionals. Tone: warm, local, a bit of Sheng is fine.
Create a 2-week WhatsApp Status + Facebook plan (table: day, idea, caption under 40 words, call to action).
Include 2 posts featuring weekly offers: Tomatoes KSh 100/kg, Unga 2kg KSh 195.Product descriptions for online shops: give the AI the specs and audience, ask for a short benefit-led description and bullet points, then check every fact.
Customer service workflow
- Collect the 20 most common questions customers ask (prices, delivery areas, payment methods, opening hours, returns).
- Ask AI to draft clear, friendly answers (in English and Kiswahili), then verify and save them as WhatsApp Business quick replies.
- Draft responses to complaints: "Write an empathetic reply to this complaint about a late delivery, offering a KSh 200 discount on the next order. Keep it under 60 words."
- AI chatbots on websites or WhatsApp (through providers) can answer FAQs 24/7, but must hand over to a human for orders, complaints and anything unusual, and must be tested carefully so they don't invent policies or prices.
Admin workflow
| Task | Prompt idea |
|---|---|
| Meeting minutes | "Turn these rough notes into formal minutes with decisions and action items (owner, deadline)." |
| Proposal | "Draft a proposal for website design for a Nakuru school: scope, timeline, pricing table (I'll provide prices), terms." |
| Job ad | "Write a job description for a part-time social media assistant in Thika: duties, requirements, how to apply." |
| Policies/SOPs | "Create a simple step-by-step procedure for opening and closing the shop, including M-Pesa reconciliation." |
| Letters | "Write a polite letter to the landlord requesting repairs to the roof, citing previous requests on [dates]." |
Always review legal and HR documents with a qualified person when stakes are high.
Data and spreadsheets
AI is excellent at spreadsheet help:
- "Write an Excel formula that totals sales in column D where column B is 'Nairobi' and column C is in September 2026."
- "Explain this formula:
=XLOOKUP(A2, Products!A:A, Products!C:C, "Not found")." - "Here's a summary of monthly sales (paste non-confidential numbers). What trends do you see? Suggest 3 actions."
- Some assistants can analyse uploaded spreadsheets directly; double-check calculations.
# Example of checking an AI's analysis yourself: monthly sales growth
sales = {"Jun": 182000, "Jul": 195500, "Aug": 176300, "Sep": 214800}
months = list(sales)
for prev, cur in zip(months, months[1:]):
change = (sales[cur] - sales[prev]) / sales[prev] * 100
print(f"{cur}: KSh {sales[cur]:,} ({change:+.1f}% vs {prev})")
print("Average monthly sales: KSh", f"{sum(sales.values()) / len(sales):,.0f}")Design, images and video
- Generate image ideas, backgrounds and illustrations (Canva Magic Studio, Adobe Firefly, ChatGPT/Gemini images); prefer real photos for products and people to avoid misleading customers.
- Remove backgrounds and enhance photos.
- Auto-generate subtitles for videos (CapCut, YouTube); check spelling of names and Kiswahili words.
- Write video scripts and hooks for TikTok/Reels.
Freelancing with AI
AI helps freelancers work faster: writers draft and edit, designers explore concepts, developers code and debug, virtual assistants handle email and research, translators produce first drafts.
Rules for doing it well and honestly:
- Add value: clients pay for your judgement, local knowledge, accuracy, voice and responsibility, not raw AI output.
- Check everything: facts, grammar, tone, originality.
- Respect client rules: some clients and platforms restrict or require disclosure of AI use; follow contracts and platform policies.
- Protect client data: don't paste confidential material into tools that may store it; use business/enterprise tools with appropriate privacy settings if handling sensitive work.
- Don't sell "AI services" you don't understand: start with tasks where you can judge the quality.
AI-enabled services you can offer: social media content packages, product description writing for online shops, WhatsApp chatbot setup for SMEs, AI-assisted transcription and subtitles (with careful editing), Excel automation, AI training workshops for staff (see the AI training data lessons in Make Money Online for data work too).
Choosing tools and costs
- Start with free plans of a general assistant (ChatGPT, Claude, Gemini, Copilot) plus Canva.
- Pay only when a tool saves you clear time or money; monthly subscriptions are usually priced in US dollars (check current prices).
- For teams, business plans offer better privacy controls and admin features.
- Integrations: Google Workspace and Microsoft 365 include AI features in some plans.
Risks and how to manage them
| Risk | Control |
|---|---|
| Wrong information (hallucinations) | Human review; verify facts, prices, laws |
| Privacy breaches | No personal/confidential data in public tools; follow the Data Protection Act |
| Copyright | Don't copy others' work via AI; check licences for generated images; be cautious with brand logos and real people |
| Generic, low-quality content | Provide context and examples; edit for voice and local detail |
| Over-automation | Keep humans for complaints, sales decisions, sensitive messages |
| Staff misuse | A clear AI policy and training |
A one-page AI policy for a small team
1. Approved tools: [list]. Use business accounts for work.
2. Never enter: customer personal data, ID numbers, passwords, financial records, confidential contracts.
3. Always review AI output for accuracy, tone and brand before sending or publishing.
4. Facts, prices, legal/tax information must be checked against official sources.
5. Disclose AI use where clients or platforms require it.
6. Generated images must not mislead (no fake product photos or fake people endorsing us).
7. Report mistakes or concerns to [name].Think about it: A freelance writer pastes a client's confidential product launch plan into a free AI tool, generates a press release, and sends it without reading it. It contains a wrong launch date. What went wrong and what should they do differently?Show answer
They risked the client's confidential data (privacy/contract breach) and skipped human review, so an error reached the client. Next time: check the client's rules on AI, remove or avoid sensitive details (or use an approved business tool), give the AI only what's needed, then fact-check every detail (dates, names, prices) and edit for voice before sending.
Summary
- AI saves time in marketing, sales, customer service, admin, data, design and coding.
- Give rich context and examples, then edit outputs with real details and your own voice.
- Use AI for FAQ replies and chatbots with human handover; draft admin documents and spreadsheet formulas, then verify.
- Freelancers should add value, check everything, protect client data and follow client/platform rules.
- Manage risks (accuracy, privacy, copyright, over-automation) with review and a simple team AI policy.
