Sales funnels, lead follow-up and CRM: turning enquiries into paying customers
Many Kenyan businesses spend money on ads and posts, get lots of "How much?" messages on WhatsApp, and still make few sales. The problem is usually not marketing: it's what happens after someone shows interest. A sales funnel maps the steps from stranger to customer; lead follow-up and a simple CRM (customer relationship management system) make sure no enquiry is forgotten. This unit shows how to design funnels, respond to leads, follow up without being annoying, track everything, and improve conversion rates step by step.
Funnel stages
Visitors/viewers → Leads (enquiries) → Qualified leads → Proposals/quotes → Customers → Repeat & referralsMeasure how many move from each step to the next:
funnel = [("Ad clicks / visitors", 2000), ("Enquiries (leads)", 160), ("Qualified", 90),
("Quotes sent", 60), ("Customers", 18), ("Repeat or referral", 6)]
for (name, n), (next_name, m) in zip(funnel, funnel[1:]):
print(f"{name:22} {n:5} -> {next_name:20} {m:4} ({m / n * 100:.1f}%)")The weakest step is where to focus first. If many leads never get quotes, the problem is follow-up speed or qualification, not ads.
Capturing leads
| Channel | Make it easy |
|---|---|
| Click-to-chat links/buttons, catalogue, greeting message, quick replies | |
| Website forms | Short forms (name, phone, need), sent to email/WhatsApp/CRM instantly |
| Calls | Visible phone number, call buttons on mobile, call tracking if available |
| Social DMs | Fast replies, saved answers |
| Walk-ins and events | Record details (with consent) on a form/tablet |
Ask for consent to follow up and store contact details securely (Data Protection Act).
Speed to lead
Leads go cold fast: the business that replies first often wins. Aim to reply within minutes during working hours, and set an automatic greeting outside hours ("Thanks! We'll reply by 8 am. Meanwhile, here's our price list: ...").
A response script for WhatsApp:
Hi Grace 👋 Thanks for contacting Mwangaza Solar!
To recommend the right system, may I ask:
1) Is it for a home or a business?
2) Which town/area?
3) Which appliances do you want to power (lights, fridge, TV, till...)?
Here's our starter price list 👉 [link]Notice: friendly, quick, asks qualifying questions, gives value immediately.
Qualifying leads
Not every enquiry is a buyer. Simple qualifying criteria (BANT):
- Budget: can they afford the typical price range?
- Authority: are they the decision-maker?
- Need: does your product solve their problem?
- Timing: when do they want it?
Prioritise hot leads; nurture warm ones with content and follow-ups; politely close cold ones.
Follow-up sequences
Most sales need several touches. A respectful sequence after sending a quote:
| Day | Channel | Message |
|---|---|---|
| 0 | Quote + summary of benefits + next step ("Reply YES to book a site visit") | |
| 1 | "Did you get a chance to look at the quote? Any questions?" | |
| 3 | WhatsApp/email | A testimonial or case study from a similar customer |
| 7 | Call | Friendly check-in; answer objections |
| 14 | Limited-time offer or financing option | |
| 30 | "Still interested? Happy to update the quote." then move to nurture list |
Stop if they say no, and always make opting out easy. Use broadcast lists only for people who agreed to receive updates.
Handling objections
| Objection | Response approach |
|---|---|
| "It's too expensive." | Break down value and savings; offer packages or payment plans; compare cost of the problem |
| "I'll think about it." | Ask what they need to decide; offer a summary; agree a follow-up date |
| "I don't trust online sellers." | Reviews, physical address, pay on delivery, warranty, references |
| "Another company is cheaper." | Explain differences (quality, warranty, support); don't badmouth competitors |
| "Not now." | Ask when; schedule a reminder; add to nurture content |
CRM: tracking every lead
A CRM records each lead, their stage, notes and next action.
Start simple: a Google Sheet
| Date | Name | Phone | Source | Need | Stage | Value (KSh) | Next action | Due | Owner |
|---|---|---|---|---|---|---|---|---|---|
| 02/10 | Grace W. | 07xx | FB ad | Shop solar | Quote sent | 85,000 | Call | 05/10 | Peter |
Pipeline stages
New → Contacted → Qualified → Quote sent → Negotiation → Won / Lost
Record why deals are lost (price, timing, competitor); it improves your offer.
Growing up
| Tool | Notes |
|---|---|
| WhatsApp Business labels | Tag chats: New, Quoted, Paid, Follow-up |
| HubSpot CRM (free tier) | Pipelines, email tracking, forms |
| Zoho CRM / Bigin | Affordable, popular with SMEs |
| WhatsApp Business Platform tools | Shared team inbox, automation, CRM integrations (via providers) |
| Industry systems | School, clinic, real estate or hotel management systems with built-in CRM |
Sales metrics
| Metric | Meaning |
|---|---|
| Lead response time | How fast you reply |
| Lead-to-customer conversion rate | Customers ÷ leads |
| Average deal value | Revenue ÷ customers |
| Sales cycle length | Days from lead to sale |
| Win rate on quotes | Won ÷ quotes sent |
| Customer lifetime value (CLV) | Total profit from a customer over time |
| Cost per acquisition (CPA) | Marketing + sales cost ÷ new customers |
Healthy businesses keep CLV well above CPA.
Retention, upselling and referrals
It's usually cheaper to sell again to happy customers than to find new ones:
- Thank-you message and a how-to guide after purchase.
- Check in after a week; fix problems quickly.
- Ask for a Google review once they're happy.
- Offer upgrades/add-ons when relevant (batteries, maintenance plans).
- Referral programme: a reward for both the referrer and the new customer.
- Occasional valuable updates (not spam) to stay remembered.
Think about it: A furniture shop gets 300 WhatsApp enquiries a month from ads but makes 10 sales. The owner replies in the evenings when free. Suggest four improvements.Show answer
Reply within minutes (assign a staff member, set a greeting and quick replies with prices and photos); qualify leads with a few questions; send clear quotes with delivery and payment options; follow up with a structured sequence (testimonials, offers, calls); track every lead in a sheet/CRM with stages and next actions; and measure conversion by ad to cut poor-quality campaigns.
Summary
- A funnel moves people from visitors to leads, qualified leads, quotes, customers and referrals; fix the weakest step first.
- Make capturing leads easy and reply within minutes with friendly scripts that qualify (BANT).
- Follow up several times respectfully, handle objections with value and proof, and stop when asked.
- Track every lead in a CRM (even a Google Sheet) with pipeline stages, next actions and lost reasons.
- Measure response time, conversion, deal value, CLV and CPA; grow with retention, upsells and referrals.
