School management systems in Kenya: what to look for

Schools and colleges in Kenya run on paperwork: admission forms, fee records, class lists, results and reports. A good school management system puts all of this in one secure place, saves staff hours every week and gives parents and students clear information.

What a school management system should do

  • Admissions and student records. One profile per learner, with contacts, class, documents and history.
  • Fees and payments. Fee structures, balances and receipts, ideally with M-Pesa payments that update the balance automatically.
  • Results and report forms. Teachers enter marks once; the system calculates grades and prints reports.
  • Timetables and attendance. Know who was present and plan classes without clashes.
  • Communication. Notices, SMS or email to parents about fees, events and results.
  • Roles and permissions. The bursar sees fees, teachers see their classes, and parents see only their own child.

Questions to ask before you choose

  • Does it fit how you already work? A system should follow your fee structure and grading, not force you to change them.
  • Who owns the data? Your records should belong to your institution, with regular backups and a way to export everything.
  • Does it work on phones? Parents and many staff will use it on a phone, often on mobile data.
  • Is it secure? Learner information is personal data. Look for secure logins, https and careful permissions.
  • What support do you get? Training for staff and someone to call when something goes wrong matter as much as features.

Off-the-shelf or custom?

Ready-made systems are quick to start but can be rigid and charge per learner every year. A custom system costs more upfront but is built around your processes and grows with you.
